If you’ve never put on a fundraising event before it’s hard to know where to start. Luckily we have a handy checklist that you can work through to help you.
The event - Planning
- What will you do ? – Think about things that will appeal to your target audience (you might want to sit down and identify who this audience will be, eg: Age, sex, interests etc), will be suitable to run in the space/ premises that you have available to you and will be achievable.
- When will you do it? What time of year, what time of day?
- Where will you do it?
- Who will you invite to come along?
- How much money will you need to set up the fundraiser? – will you make a profit?
- When will you need the money by?
- What will you need it for?
- Do you know roughly what things cost?
- What resources will you need? Equipment etc
- Will you need volunteers? – How many?
- What are the legal requirements? – You can find lots of information about the legalities of fundraising at http://www.doitforcharity.com/fundraising-law.aspx
- What are the risks? – Weather etc – how can you manage them?
- What else is going on locally at the same time? Will it clash or might it benefit your event?
- Will you need to provide food and drink (or could you sell it?)
Marketing
It is important to market your event to attract people’s interest, even if it is simply a case of putting up posters in school. You might also want to think about:
- Where will you advertise?
- How you will advertise?
- Will you use social media?
- What social media platforms will you use?
- What will you put in your posts? Especially those with limited word count?
- Who will you target them at?
- Will you put up posters?
- What will your posters say?
- What will your posters look like?
- How else could you attract young people?
- How will you tell everyone why you are fundraising?
- How will you promote the hospice through your marketing and also on the day of the event?
- What language will you use – remember you want to attract young people but you are also representing the Hospice.
- Can you get any other source to promote your event for you? Schools, colleges, radio etc – who will you ask?
On the day
- What jobs will there be for volunteers
- What float will you need?
- What time will everything happen – do you have a running order?
- How will you keep people interested?
- How will you keep people spending their money?
- What will happen to the money at the end of the event?
- How will you promote the hospice during the event? How will you attract people to donate further or become interested in volunteering?
- Who will you need to thank?
- Who will you need to tell about what you have raised?
- What was good / what was bad / what would you do differently?
